Our incident reporting platform Speak up. We care. is a protected, secure, and independent reporting channel for employees, customers, consumers, suppliers, and other external stakeholders.

Via this platform users can submit reports on breaches of the law or of internal policies worldwide at any time of day or night and in any preferred language. The system enables you to stay anonymous if you wish so.

REPORTING PROCESS

  • Compliance with the law and with internal guidelines is a critical part of a positive and trusting business culture.

    You may be aware of harmful behavior or risks that pose a threat to Beiersdorf. The information that you provide can help to detect reputational and financial damage early on, and hence to preserve trust in our brands and ensure the ongoing success of the company.

  • There are different ways for you to submit a report.

    You can use Beiersdorf’s Speak Up. We care. whistleblowing system to report breaches of the law or of internal policies in a written format. A link to the system is provided on our website.

    You can also report breaches orally via the respective phone number provided for your country. This can also be found on our website. 

  • You can use our whistleblowing system to report breaches of the law or of internal policies. You can file reports in a large number of categories, including white-collar crime, discrimination/harassment, and breaches of human rights and environmental protection requirements. A full list of available reporting categories is available when you create a new report.

    Please note: the whistleblowing system is not designed to handle product related questions or specific questions about our brands.   • In the European Union and some other countries, you can also submit reports by phone. A list with available phone numbers and countries is provided on our website.

    A voice agent will guide you through the oral reporting process. Your oral report will be submitted to our Speak Up. We care. Whistleblowing system as an oral message.

    Please remember your report number and password that will be created throughout the process. This way you can receive updates to your oral report and also provide further information when re-dialing the phone number.

    If oral reporting is not supported by local law, no phone number/ country will be listed. Please consider submitting your report in written format then.

  • You can submit reports anonymously if you wish to. Your anonymity will be protected at a technical level by the SpeakUp® Incident Reporting system as long as you yourself do not submit any data which can be traced back to you.

  • The reports are handled by dedicated employees from Global Compliance or Corporate Auditing, or by dedicated experts from other functions (“case manager”). All these staff act impartially and are bound to secrecy. Handling of reports follows strict need-to-know principles.

  • All incoming reports are reviewed and processed by a dedicated group of trained, independent case managers. With your respective report number (that was automatically created by SpeakUp® for your report) as well your password (created by yourself) you always have access to the status of your filed report. You will be given prompt confirmation that we have received your report. In some cases, the case manager may also contact you with further questions about the issue.

  • We follow up on all reports we receive. Keeping the information you provide confidential is very important to us, which is why we involve as few people as possible in the investigation. Generally, people accused of wrongdoing are given the chance to present their side of the situation described in your report. In some cases, this means we may have to disclose your name (this is often necessary with accusations of harassment, for example). If you reveal your name in your report, please tell us if you do not want the person you have accused to know it. We may have to pass on the information you have reported to public bodies in cases in which this is required. If our investigation confirms that a compliance breach has occurred, we will take appropriate measures.

    In case we have further questions to you, we will contact you via your report. To communicate with us, you will need your specific report number as well as the password that you have created while submitting your report.   

  • The SpeakUp® System that we use is designed to protect the whistleblower's identity. The system's anonymity protection function has been certified.

    When submitting your report, you receive a specific report number and are requested to create a password. Please keep this data safe and available to yourself. You will require both to receive answers from us.

    Encryption and other special security techniques are used to ensure that your report remains anonymous at all times. At no point during the reporting process will you be asked for personal information. If you wish to remain anonymous, please do not submit any information that can be used to identify you personally.

    The case manager for your report will contact you via your specific report number to inform you about the status of your report or to ask further questions if details need to be clarified. Your anonymity will be protected at all times during this process. Our interest in these reports is to prevent damage or loss to the company, not to obtain information about the person who submitted them.

  • We will provide feedback on the outcome of our investigation after it has been completed. You can review the feedback on our SpeakUp® platform using your respective report number and password that you have created during submission of your report. We ask for your understanding that we cannot share any details, since we also have to protect the privacy rights of the people accused.

  • To start with, we only disclose your identity to the minimum number of people needed for the investigation. Beiersdorf prohibits retaliation measures against people who report potential compliance breaches in good faith. Please use the whistleblowing system to contact us if you experience disadvantages or retaliation in connection with your report. However, you must be prepared for consequences if you knowingly report false or misleading information.
